Substitution or Transfer
You may not transfer, sell, or modify the conditions of any registration you have for a Craigberoch event. In lieu of a refund, and if conditions are permitting, Craigberoch may offer you the option to substitute your current registration for one of our future events or other activities run by Craigberoch. It is at our discretion to offer this to you, and does not supersede the Refund section of this policy; you will be informed by the team if this is a possibility, you are not able to request a substitution of your registration.
Downpayment
For some of our events we may request a percentage of the full price of the registration as downpayment to secure your registration. If this is the case the webpage for the event and the payment processor will clearly inform you that what you are paying is a downpayment for that event.
The downpayment is used to secure the reservation and the remainder of the payment will be requested by the team (with more payment options available). You will be contacted by our Events team to notify you on how to complete the payment of the remaining amount. These downpayments are refundable and you can cancel it according to the terms in the ‘participant cancellation’ subsection of this policy.

Third Parties
On occasions we may use third parties, including but not limited to, Eventbrite, Stripe, Paypal, WordPress plugins to process credit card and other payment transactions to secure a downpayment or full payment for an event.
These platforms have their own terms and conditions / terms of service / terms of use, which you will need to review and accept. Craigberoch seeks to ensure that these align with the terms in this policy, nevertheless these third parties may change their terms and conditions and as such there may be discrepancy between the two. We recommend that you consult the terms of service and other policies of these third parties before using them. You are not obligated to use these services for paying the downpayment or full payment to register for our events.
If the use of a third party is an issue for you please contact our team with the request for an alternative payment method. We are happy to assist you in this process.
Cancellation & Refunds
Participant Cancellation
If you have requested the cancellation of your registration for an event, the amount that will be refunded will depend on the number of weeks before the event begins. This takes the start date of the event as from where the number of weeks are counted.
As an example of this, if an event starts on Tuesday 31st of August, then the 4 weeks prior to this would be Tuesday 3rd of August. Any cancellation requested before then 3rd of August will have 30% of the cost of the registration refunded to the participant.
Time before event starts | % refunded |
6+ weeks | 100% |
5 - 6 weeks | 60% |
4 - 5 weeks | 30% |
Less than 4 weeks | 0% |
Absent / failure to attend | 0% |
Cancellations must be received via email in advance of the beginning of the event in question. If you wish to cancel please email info@craigberoch.org with the subject line “Cancellation” and details of which event(s) you are canceling registrations for.
Any refund due, once approved, will be issued within 30 days of receipt of the cancellation notice to your original payment method, which is usually received within 5 working days.
Cancellation by Craigberoch
- If we must cancel an event, we aim to do so at least six weeks prior to the start of the event. Unforeseen circumstances that are outside our control may oblige us to cancel later than this. These include, but are not limited to, force majeure incidents such as natural disasters, human events and performance failures.
- If we are obliged to cancel an event, all participants will be informed promptly and we will issue a 100% refund for any payment (including downpayment) automatically to all those that had already paid.
- In the case of cancellation, Craigberoch accepts no responsibility or liability for travel, hotel or other costs and expenses incurred by participants and guests relating to their expected participation at the event.
Cancellation due to COVID-19
The COVID-19 pandemic is still ongoing and we actively monitor local public health recommendations (the Scottish Government and the UK’s Department of Health and Social Care) about gatherings, travel restrictions, and prevention measures. Our COVID-19 related cancellation reasons include: transportation disruptions and cancellations, border closures, travel visas being declined, illness, travel or health advisories and quarantines.
Travel bans and restrictions are uncertain, and we seek to be flexible in our cancellation policy to allow for immediate refunds to participants who are not able to attend an event due to COVID-19 related issues. Full refunds will also be given to registered participants if we cancel an event specifically for COVID-19 related reasons, even if this cancellation is less than 6 weeks before the start of the event.
If you have been recommended to self-quarantine or isolation by your health authority, have had recent contact with a confirmed case, or have tested positive for the virus, do not travel or attend any of our in-person events. You are not obligated to share with us any information you are not comfortable divulging (medical or personal), but we may not be able to apply our Covid-flexibility policy if we do not know the cause. In any case please notify us about any cancellation via email to info@craigberoch.org as soon as possible.
Special Conditions for Online Events
It is the participants’ responsibility to ensure they have the tools and appropriate connectivity to be able to access the platforms we use for our online events. There are no refunds for missed attendance or delays due to technical issues, connectivity or other problems. Please carefully review the time and timezone of the event and join on time.
